Terms of Service

1. Agreement

These Terms of Service ("Terms") are a legal agreement between your church organization ("you" or "Subscriber") and Deke3 LLC ("WatchmanLog," "we," "us," or "our"). By signing up for or using WatchmanLog, you agree to these Terms.

If you are signing up on behalf of a church or organization, you represent that you have the authority to bind that organization to these Terms.

2. The Service

WatchmanLog provides a private web application for church safety teams, including:

• Incident logging and formal report generation
• Team member management and qualification tracking
• Campus restriction records
• Cross-church network incident sharing (opt-in)
• Email notifications and weekly digests
• Analytics and activity reporting

We reserve the right to modify, update, or discontinue features with reasonable notice to active subscribers.

3. Account and Access

Each subscription provides a dedicated, private instance of WatchmanLog at a subdomain of watchmanlog.com. You are responsible for:

• Keeping your login credentials confidential
• All activity that occurs under your account
• Ensuring your team members use the platform in accordance with these Terms
• Promptly notifying us of unauthorized access at [email protected]

You may add any number of team members to your instance. All team members of your organization share a single subscription.

4. Subscription and Payment

Plans

• Monthly: $29/month, billed monthly
• Annual: $299/year, billed annually (save ~14%)

Billing

Subscriptions renew automatically at the end of each billing period. Payments are processed by Stripe. By subscribing, you authorize us to charge your payment method on a recurring basis until you cancel.

We will email you a receipt after each successful charge.

Price Changes

We will provide at least 30 days written notice before increasing subscription prices. Price increases will apply at your next renewal date after the notice period.

Promo Codes

Promotional discounts apply only to the billing period(s) specified. After the promotional period, your subscription renews at the standard rate.

5. Cancellation and Refunds

You may cancel your subscription at any time via the billing portal at watchmanlog.com/billing or by emailing [email protected].

• Cancellation takes effect at the end of the current billing period — you retain access until then
• We do not offer prorated refunds for partial billing periods
• Annual subscribers who cancel within 7 days of their first payment may request a full refund
• We may issue refunds at our discretion for extenuating circumstances — contact us to discuss

After cancellation, your data remains available for 30 days. After that, your instance and all data are permanently deleted. We strongly recommend exporting your incident records before canceling.

6. Acceptable Use

WatchmanLog is intended exclusively for legitimate church safety and security team operations. You agree not to:

• Use the platform to harass, stalk, or target individuals without legitimate safety justification
• Enter false, fabricated, or misleading records
• Share your account credentials with individuals outside your church organization
• Attempt to access another church's private data or instance
• Use the platform for purposes unrelated to church safety operations
• Violate any applicable law, including privacy laws governing the collection of information about individuals

We reserve the right to suspend or terminate accounts that violate these terms without refund.

7. Data and Privacy

Your use of the platform is governed by our Privacy Policy, which is incorporated into these Terms by reference.

Your church owns its data. We do not claim ownership of any incident records, team data, photos, or other content you upload to the platform. We act as a data processor on your behalf.

You are responsible for ensuring that the information you enter into WatchmanLog complies with applicable privacy and data protection laws in your jurisdiction, including laws governing the retention of records about individuals.

8. Church Network Sharing

If your church participates in a Church Network, incidents you choose to share become visible to the other churches in that network. By sharing an incident to a network:

• You represent that you have the authority to share that information with partner churches
• You understand that the receiving churches may store and act on the shared information
• Shared incidents are not visible to the general public or other WatchmanLog customers outside your network

9. Disclaimer of Warranties

WatchmanLog is provided "as is" and "as available." We make no warranty that the service will be error-free, uninterrupted, or meet your specific requirements. Church safety involves real-world decisions and risks — WatchmanLog is a record-keeping and communication tool, not a substitute for trained personnel, professional security assessment, or law enforcement.

10. Limitation of Liability

To the maximum extent permitted by law, Deke3 LLC and its operators shall not be liable for:

• Any indirect, incidental, special, or consequential damages
• Loss of data, revenue, or business interruption
• Any harm arising from actions taken (or not taken) based on information logged in the platform
• Service interruptions or data loss due to circumstances beyond our reasonable control

Our total liability to you for any claim arising from these Terms or your use of the service shall not exceed the total subscription fees you paid in the 12 months preceding the claim.

11. Governing Law

These Terms are governed by the laws of the State of Colorado, United States, without regard to conflict of law principles. Any disputes shall be resolved in the state or federal courts located in Colorado.

12. Changes to These Terms

We may update these Terms from time to time. We will notify active subscribers by email at least 14 days before material changes take effect. Continued use of the service after the effective date constitutes acceptance of the updated Terms.
