Plain English summary: WatchmanLog is software your church uses to manage its safety team. Your church owns its data. We store it securely, never sell it, and only share it with the services needed to operate the platform (Stripe for billing, Resend for email). You can request deletion at any time.
1. Who We Are
WatchmanLog is a software-as-a-service platform operated by Deke3 LLC ("we," "us," or "our"). We provide church safety teams with incident logging, team management, and network sharing tools.

2. Information We Collect
Account and Church Information
When a church administrator signs up, we collect:
- Church name and physical address
- Administrator name, email address, and phone number
- Billing information (processed by Stripe — we do not store raw card numbers)
- Church logo and branding assets uploaded to the platform
Team Member Information
Church administrators and authorized team members may enter:
- Team member names, roles, contact information, and vehicle descriptions
- Qualification and certification records (CPR, first aid, firearm certifications)
- Profile photos and biography information
- Ministry positions and emergency contact details
Incident and Safety Records
Team members log safety-related information including:
- Incident descriptions, categories, timestamps, and campus locations
- Photos attached to incidents (security camera captures, scene photos)
- Formal written reports including staff and witness statements
- Campus restriction records including photos and physical descriptions of individuals
Usage Information
We automatically collect limited technical data to operate the service:
- Login timestamps and session activity
- Feature usage (which pages and actions are used) — stored for 90 days
- Web push notification subscription tokens
We do not use third-party analytics trackers or advertising pixels.
3. How We Use Your Information
- To provide the service — storing and displaying your church's incident records, team data, and network sharing
- To send notifications — incident alerts, weekly digests, and network updates via email and push notification, based on your preferences
- To process payments — subscription billing via Stripe
- To provide support — responding to questions and troubleshooting issues you report
- To improve the service — understanding how features are used to prioritize improvements
4. Church Data Ownership
Your church owns its data. WatchmanLog acts as a data processor on your behalf. We do not use your church's incident records, team information, or restriction records for any purpose other than providing the service to your church.
Incident data shared via the Church Networks feature is shared only with the specific partner churches your church has chosen to connect with — it is never visible to the general public or other WatchmanLog customers.
5. Data Sharing and Third Parties
We do not sell your data. We share data only with the following service providers, and only as necessary to operate the platform:
- Stripe — payment processing and subscription management. Stripe's Privacy Policy applies to payment data. (stripe.com/privacy)
- Resend — transactional email delivery (incident alerts, welcome emails, weekly digests). (resend.com/legal/privacy-policy)
- Amazon Web Services (AWS) — cloud hosting infrastructure. Your data is stored on AWS servers in the United States.
- Cloudflare — DNS, content delivery, and DDoS protection. Cloudflare processes network traffic but does not store your application data.
We may disclose information if required by law or to protect the rights and safety of our users.
6. Data Security
We use industry-standard security practices:
- All data is transmitted over HTTPS/TLS
- Passwords are hashed using bcrypt (cost factor 10) — we cannot recover your password
- Authentication tokens expire after 14 days
- Uploaded files are stored in private directories not accessible via direct URL
- The server sits behind Cloudflare's DDoS protection and nginx

7. Data Retention
We retain your church's data for as long as your subscription is active. If your subscription is canceled:
- Your data remains available for 30 days after cancellation
- After 30 days, your instance and all associated data are permanently deleted
- You may request an export of your data before deletion by contacting us
Activity logs are automatically pruned after 90 days.
8. Your Rights
You may request at any time:
- Access — a copy of the data we hold for your church
- Correction — updates to inaccurate information
- Deletion — removal of your church's data from our systems
- Export — your incident records in CSV format

9. Cookies and Local Storage
WatchmanLog does not use tracking cookies. The application uses browser localStorage to store your authentication token and display preferences. This data stays on your device and is not transmitted to third parties.
10. Children's Privacy
WatchmanLog is intended for use by adult church safety team members. We do not knowingly collect personal information from anyone under 18. If you believe a minor's information has been entered into the platform, contact us and we will assist with removal.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify active subscribers by email at least 14 days before material changes take effect. Continued use of the service after the effective date constitutes acceptance of the updated policy.
